Billing and invoices
Read the workspace ledger, see per-recruiter spend, and find the receipts and tax information for your purchases.
Billing and invoices
The Payments page is the workspace's billing console. It is the authoritative record of every credit that has entered or left the wallet, who spent it, and why.
What the page shows
| Section | Visible to | What it is |
|---|---|---|
| Available / Held | Everyone | Current wallet balance, with held credits called out separately. |
| This month / Rate | Everyone | Amount spent this calendar month and the per-candidate rate. |
| Admin credits / Net spent | Admins | Top-ups, admin grants, and net spend across gateways. |
| Per-recruiter spend | Admins | Tokens spent by each recruiter in the workspace. |
| Transaction history | Admins | Every ledger entry, newest first. |
The transaction history
The transaction history is the workspace's full ledger. Each row records:
| Field | Meaning |
|---|---|
| Date | When the entry was created |
| Type | +Credit Credit, −Debit Debit, −Hold Hold, or RELEASE Release |
| Description | A short reason, including the assessment name when applicable |
| Tokens | Signed amount: positive for credits, negative for debits, holds, and releases |
| Balance | The available balance after the entry |
The description is human-readable. Where the gateway captured an amount, the original currency and amount are recorded on the entry for traceability.
Per-recruiter spend
The Credits consumed by recruiter table gives you a quick read on which recruiters are driving spend. It shows, per recruiter:
- Number of assessments
- Number of candidates
- Total tokens spent
This is the answer to "who is using the most credits" and "is spend in line with hiring activity".
Receipts and tax
When you purchase credits, the gateway sends its own receipt (Stripe or Razorpay) to the billing email associated with the payment method. QualifyCode does not issue a separate invoice.
For tax, the gateway's invoice is authoritative. The estimate shown before payment includes the tax line (label and rate) for your region so you can confirm the figure before authorizing.
Cancellation refunds
Refunds for cancelled assessments appear in the ledger as a release entry, paired with the original hold entry. The credits return to the available balance. If you paid partly by card, the gateway handles the refund on its own schedule.
