Shortlists
Curated candidate collections, scoped to a role or a hiring round, with full handoff context.
Shortlists
A shortlist is a curated collection of candidates. It is the answer to "who am I putting forward" — a question the screening queue cannot answer, because the queue is about deciding, not about collecting.
Why shortlists are a destination, not a filter
A filter of the queue would say "show me everyone I have passed." A shortlist says "these are the people I am putting forward for the Senior Backend role." The two look similar but answer different questions, and only the second survives a change in the queue. A shortlist is independent of how a candidate was decided.
Creating a shortlist
- Open Shortlists in the sidebar.
- Click New shortlist.
- Give it a name, an optional role title, and an optional assessment to anchor it to.
- Confirm. The shortlist appears in the Shortlists list.
Adding and removing members
- From a shortlist detail page, click Add member and search by name or email.
- From the screening queue or a candidate's Decision Room, click Add to shortlist and pick the destination.
- From a shortlist, remove a member with Remove. The candidate's verdict is untouched.
Each addition or removal is recorded as a SHORTLIST_ADD or SHORTLIST_REMOVE
event in the candidate's decision history.
Advancing to the next round
When a candidate is ready to move to the next round, use Advance. The platform:
- Adds the candidate to the target shortlist (or marks them as already on it).
- Records an
ADVANCEevent in the candidate's decision history with the reason provided.
This is the explicit, recorded way to hand someone from one shortlist to another, or from a shortlist to a "final" shortlist for the hiring manager.
What is in a shortlist detail
| Section | What it is |
|---|---|
| Header | Name, role title, anchor assessment, created by and when |
| Members | Each candidate with their best score, effective recommendation, CETS recommendation, and any override |
| Notes | The per-candidate note you wrote at the time of add (optional) |
Tracking each member's next round
Beyond who is on the shortlist, you can track where each member is in the hiring process using a next-round status. This is a per-member lifecycle that travels with the candidate so the next interviewer sees exactly where they stand.
| Status | Meaning |
|---|---|
| Shortlisted | On the shortlist, not yet advanced. |
| Interview planned | An interview has been scheduled. |
| Interviewing | The candidate is in the interview process. |
| Offer | An offer has been extended. |
| Hired | The candidate accepted. |
| Rejected after shortlist | Removed from consideration after reaching the shortlist. |
| Withdrawn | The candidate (or your team) withdrew from the process. |
Change a member's status from the shortlist detail page. Status changes are only available to members with edit permission on the shortlist.
How shortlists interact with the bar
Shortlists are independent of the Role Bar. A candidate can be on a shortlist without a screening verdict, and a screening verdict does not automatically add a candidate to a shortlist. The two answers to "is this person moving forward" are recorded separately, so the audit trail is honest.
