Invite candidates
Add candidate emails, send private invitation links, customize the invitation email, and resend or remind.
Invite candidates
Once your assessment is Active, you can invite candidates. Each candidate gets a unique, private link. No account or password is required.
Adding candidates
From the assessment, go to Candidates and add email addresses. You can add one at a time or in bulk by pasting a list separated by newlines, commas, semicolons, or tabs. Each address is validated, and duplicates or invalid entries are rejected. The total is capped at 500 candidates per assessment. Added candidates appear in a Pending Invite pending state.
The validation result separates added, duplicates, and invalid entries so you can correct mistakes before sending.
Sending invitations
Click Send Invitations to generate a private link for each candidate and email it. The link points to the candidate app and already contains the access token:
https://assess.qualifycode.com/assess/<private-token>You can also skip sending at creation time and send later from the assessment detail page — useful when you want to draft everything and dispatch later.
Links are tied to one candidate
Each link identifies the recipient, and the test is monitored. Share the link only with the intended person. If a link is lost or forwarded, resend it from the candidate list — the old link is invalidated when a new one is issued.
Customize the invitation email
Before sending, you can edit the subject, body, and sender name. The email supports variables that are filled in automatically per recipient:
| Variable | Resolves to |
|---|---|
{candidate_name} | The candidate's display name |
{candidate_email} | The candidate's email address |
{assessment_name} | The assessment's display name |
{role_title} | The role title from Configuration |
{duration} | Duration in minutes |
{problem_count} | Number of problems in the assessment |
{languages} | Comma-separated list of allowed languages |
{start_date}, {end_date} | Schedule window dates, in the workspace timezone |
{start_time}, {end_time} | Schedule window times, in the workspace timezone |
{timezone} | IANA timezone name |
{window} | Human-readable window length (e.g. 3d 4h) |
{assessment_link} | The candidate's unique private link |
{company_name} | The workspace's display name |
The default subject, body, and sender name are provided when the assessment is created, so you only need to adjust them if you want a different tone. The variable list is also exposed in the email editor's help panel.
Resending and reminding
| Action | When to use |
|---|---|
| Resend invitation | The candidate says they did not receive or lost the email. Issues a new link. |
| Send reminder | The candidate has not started and the window is closing. Uses the same email template. |
| Bulk reminder | Multiple candidates in the same state. |
Reminders are most useful near the close of your assessment window to nudge candidates who have not finished.
Removing a candidate
You can remove a candidate from an assessment before they start. Once they have submitted, their results are kept for review and the candidate cannot be removed from the assessment record.
